CRM Card

The QuickBooks Invoices CRM card appears on HubSpot deal records and provides quick access to invoice creation and tracking.

Overview

Location: Middle column of deal records Tab name: “QuickBooks Invoices” Access: All users with view access to deals

Card Components

Create Invoice Button

Purpose: Launch invoice creation modal

Location: Top of card

Action: Opens invoice creation form

Availability: Always visible when connected to QuickBooks

Connection Status

Shows: Whether integration is connected to QuickBooks

States:

  • Connected: Green checkmark, “Connected to [Company Name]”
  • Not Connected: Yellow warning, “Connect to QuickBooks to get started”
  • Connection Error: Red error, “Connection failed”

Invoice List

Shows: All invoices created for this deal

Information displayed:

  • Invoice number (e.g., INV-1001)
  • Amount (e.g., $3,000.00)
  • Creation date
  • Type label (if categorized)
  • Email status

Sorted by: Most recent first

Purpose: Open invoice in QuickBooks Online

Action: Opens new tab with invoice details

Availability: If invoice URL is available

Using the Card

Creating an Invoice

  1. Open deal record
  2. Click QuickBooks Invoices tab
  3. Click Create Invoice button
  4. Fill in invoice details
  5. Submit

Viewing Invoice History

  1. Open deal record
  2. Click QuickBooks Invoices tab
  3. Scroll to invoice list section
  4. See all invoices for this deal

Checking Invoice Status

  1. Open QuickBooks Invoices tab
  2. Find invoice in list
  3. Check status indicator
  4. Click “View in QuickBooks” for full details

Card States

When Connected

Display:

  • Green connection indicator
  • “Create Invoice” button enabled
  • Invoice list (if invoices exist)
  • Quick actions available

When Not Connected

Display:

  • Yellow warning indicator
  • “Not connected” message
  • Link to settings (for admins)
  • “Create Invoice” button disabled

Action: Admin must connect to QuickBooks in settings

When No Invoices Exist

Display:

  • “Create Invoice” button
  • Empty state message: “No invoices created yet”
  • Prompt to create first invoice

When Invoices Exist

Display:

  • List of invoices with details
  • Running total (if shown)
  • Links to view each invoice

Permissions

View card: Any user with view access to deals

Create invoices: Users with edit access to deals

Configure settings: Super Admins only

Troubleshooting

Card Not Visible

Solutions:

  • Verify you’re on a Deal record (not contact/company)
  • Refresh the page
  • Clear browser cache
  • Contact admin to verify integration is installed

”Not Connected” Message

Solution: Contact Super Admin to connect integration to QuickBooks in settings

Invoices Not Showing

Solutions:

  • Refresh the tab
  • Hard refresh browser (Ctrl+Shift+R)
  • Verify invoices exist in QuickBooks
  • Check browser console for errors

Best Practices

Do:

  • Check card before creating invoice (avoid duplicates)
  • Review invoice history regularly
  • Keep card visible while invoicing
  • Use card to track payment progress

Don’t:

  • Create invoices without checking existing ones
  • Ignore connection status warnings
  • Assume invoice created without verification
